About this Interview Thank-You Email template

A thank-you email after an interview is a low-cost, low-risk move. It will rarely win the job on its own, but it keeps you in mind while the interviewer is still writing up their notes, and it is one more clean sample of how you write. Send one within a day of every interview, including panels — and write to each interviewer separately rather than sending one group email with everybody copied in.

The line that matters is the specific one. Reference something you genuinely discussed — a problem their team is wrestling with, a tool they mentioned, a question that made you think — because it proves you were present rather than reciting. It is also the right place to repair a wobble: if you fumbled an answer, one crisp sentence saying what you meant is fair game. Keep it under 150 words, keep the tone warm and even, and leave out flattery, salary talk, and anything that reads as pressure on the decision.

The common mistake is turning it into a chase. This email says thank you; it does not ask when you will hear back. If the date they gave you passes in silence, that is a separate follow-up email a few days later — and if the role came from an application you sent yourself, keep the thread tidy with your original application email.

Frequently asked questions

How soon should I send it?

Within 24 hours, while the conversation is still fresh for them. Same day, a couple of hours after you leave, is perfectly fine and often better.

Email or a handwritten note?

Email. A card is a lovely gesture but it arrives after the decision is made; email lands while your name is still on the table.

I met four people — one email or four?

Four, each mentioning something different that you discussed with that person. If you only have one contact address, send one message and ask them to pass on your thanks.

Can a thank-you email hurt my chances?

A short, sincere one will not. A long, pushy, or typo-ridden one can — it is a writing sample, so proofread it like the rest of your application.

It has been three days — is it too late?

Send it anyway if the decision is likely still open. Do not open with a paragraph apologising for the delay; just write the note you meant to write.
